Program Procedures: Organized Program & Invitational Program to FaciTeam

[Standard of Procedure – General Requirement]


~Procedures to be Followed~


Category A: Organized Program

1. Management Committees of FaciTeam are planned to conduct a program.
2. Forming of Organizing Committees of the program.

3. Program’s Secretary with Program’s Main board DRAFT a Paperwork (must follow standard format) to be submitted to Secretary General of FaciTeam to be checked.
4. After Secretary General of FaciTeam approved the Paperwork, Program’s Secretary must submits it together with Program Form (yellow in colour) completed with requested approvals (signatures) to One Stop Students Centre (OSSC) WITHIN A MONTH before the date of the program to get a Program’s Approval Letter.
5. After Program’s Approval Letter has been endorsed, related approvals such as budget advancement, venue, transport, related equipments, banners and posters should be requested by fill in the respected forms obtain at OSSC Office.
6. All technical and management part of the program should be done as soon as possible after endorsement of Program’s Approval Letter.
7. Run of the program.
8. After program has been done, Program’s Secretary and Program’s Treasurer need to submit Program Report Form (pink in colour) and Financial Report Form (blue in colour) to OSSC WITHIN TWO WEEKS AFTER the date of the program.
9. Program’s Secretary also need to submit FaciTeam’s Program Report (requested from Secretary General of FaciTeam) to Secretary General of FaciTeam WITHIN TWO WEEKS after the date of the program.
10. Program END.


Category B: Schools or Other Party – Invitational Program to FaciTeam
1. Related party (schools or society) contact Public Relation Coordinator, PRC or any FaciTeam members to request a program.
2. IMPORTANT: If ordinary members of FaciTeam receive a program, you need to consult with PRC first or other MC of FaciTeam upon any decision made with related party. PRC will proceed to discuss with other MC of FaciTeam to ACCEPT/REJECT the program.
3. If the program is ACCEPTED, PRC or Secretary General of FaciTeam (with concern from other MC of FaciTeam as well) will look for Person-In-Charge, PIC to handle in term of management part of the program.
4. PIC need to contact related party to request for Invitational Letter to IIUM FaciTeam regarding requested program along with all the details needed. This Invitational Letter need to send via Fax to OSSC. OSSC number can be obtained from Secretary General of FaciTeam.
5. Once the Invitational Letter was received by OSSC, PIC need to pick it up and fill in Invitational Program Form to request for Program’s Approval Letter.
6. After Program’s Approval Letter has been endorsed, related approvals such as budget advancement, venue, transport, related equipments, banners and posters should be requested by fill in the respected forms obtain at OSSC Office.
7. All technical and management part of the program should be done as soon as possible after endorsement of Program’s Approval Letter.
8. PIC together with Head Facilitator that has been appointed will discuss more on the program with related party. REMEMBER: Only program that has been accepted by MC of FaciTeam can be promoted by any means.
9. Once everything has been planned well, promotion to seek for facilitators and/or committees for the program can be conducted.
10. Run of the program.
11. After program has been done, Program’s Secretary and Program’s Treasurer need to submit Program Report Form (pink in colour) and Financial Report Form (blue in colour) to OSSC WITHIN TWO WEEKS AFTER the date of the program.
12. Program’s Secretary also need to submit FaciTeam’s Report Program (requested from Secretary General of FaciTeam) to Secretary General of FaciTeam WITHIN TWO WEEKS after the date of the program.
13. Program END.
